Summary

Integrating AI in meetings means using artificial intelligence tools to help organize, facilitate, and summarize team discussions, making meetings more focused, productive, and collaborative. AI can automate tasks like creating agendas, transcribing conversations, and assigning follow-ups, so your team spends less time on administrative work and more time on meaningful discussion.

  • Automate preparation: Let AI scan emails and documents to build clear agendas and highlight topics that need attention before your meeting even starts.
  • Streamline follow-up: Use AI to record meetings, extract action items, and send summaries so everyone stays on track and knows their next steps.
  • Analyze participation: Try AI-powered insights to spot who’s speaking most, which topics get attention, and where your team might need more balance or focus.

I let AI run our team meeting for 15 minutes. The results shocked everyone (including me). Here's what happened: Last Tuesday, I decided to experiment. Instead of leading our weekly marketing sync, I handed the reins to ChatGPT. The setup was simple: → Fed it our agenda → Gave it context on each team member's projects → Let it facilitate while I observed What unfolded was... unexpected. The AI didn't just regurgitate talking points. It asked questions I'd never thought to ask: "Sarah, how might your campaign insights help David's product launch?" "Team, what assumptions are we making about Q2 that might be wrong?" "If we had unlimited budget, what would we test first? Now, how can we pilot that for $1000?" The energy shifted immediately. People who usually stayed quiet were contributing. Cross-functional ideas emerged naturally. We solved a 3-week bottleneck in 7 minutes. But here's what really struck me: The AI had no ego. No favorite team members. No unconscious bias toward certain ideas. It simply facilitated pure collaboration. After 15 minutes, I took back control. The team's feedback? → "It felt like a brainstorm, not a status update" → "I actually heard what other teams needed" → "Can we do this monthly?" Now, let me be clear: AI won't replace human leadership. It can't read the room like we can. It misses emotional nuances. It doesn't understand company politics. But as a tool for breaking patterns? For challenging our meeting autopilot? It's powerful. Here's my takeaway: We get stuck in our leadership grooves. Same questions. Same dynamics. Same blind spots. AI can be the pattern interrupt we need. Not to replace us, but to make us better. Next experiment? Using AI to analyze our meeting transcripts for: → Who dominates airtime → Which topics we avoid → Where we lose focus Because great leadership isn't about having all the answers. It's about asking better questions. And sometimes, it takes a non-human perspective to show us what we're missing. Have you experimented with AI in team settings? What surprised you? I'll be honest. Before joining Microsoft, I wasn't using AI in my daily work as much as I could have. I wasn’t skeptical, but I hadn’t yet embraced the full potential of integrating AI into my workflows. That has changed completely, and now, with tools like Copilot, I can’t imagine working without it.   The most noticeable shift has been in how Copilot helps me prepare for meetings. Whether it's gathering insights from a series of documents, transcribing conversations, or pulling together key data points, it’s become an invaluable tool for streamlining my prep. I can dive straight into the substance of meetings with my team or customers, knowing that I’m fully backed by AI-generated insights that would have taken hours to compile.   Thanks to Copilot, my team and I are freed up to focus on what truly matters—driving strategic initiatives forward—rather than getting bogged down in administrative tasks. The results are clear: more impactful meetings, faster decision-making, and a level of efficiency that was previously out of reach. How has AI changed the way you work?

Still drowning in unproductive meetings? It’s time to let AI do the heavy lifting. We’ve all been there—those endless calls that lack an agenda, run over time, and end without clear next steps. Over the years, I’ve seen how meetings can either propel a team forward or drain its energy. But the good news? AI isn’t just for code generation or marketing copy. It’s quietly becoming the ultimate meeting productivity machine. Here’s how AI can revolutionize your meetings: 🗂️ Before: Auto-generate clear agendas by scanning project updates and emails. No more guessing what needs to be covered. 📝 During: Real-time transcription and smart note-taking ensure nothing gets lost in the shuffle. Everyone stays focused. 📩 After: Instant meeting summaries, clear action items, and follow-up emails sent to the right people. Accountability, made easy. 🤝 Plus: Some platforms even analyze your invite list to suggest who actually needs to attend—and who can skip. That’s a game changer for reducing meeting bloat. Pro tip: Start small. Choose one meeting this week to test an AI assistant for notes or summaries. Watch the difference in clarity and follow-through. AI isn’t here to replace your team—it’s here to free them up to focus on real work. What’s the one part of your meetings you’d most like to automate? Let’s talk about it in the comments. And if you want more ideas on productivity, tech, and smarter workflows, hit follow. #AIProductivity #SmartWork #Leadership

Let’s stop overcomplicating AI. One of the most immediate productivity wins? Using AI to record and transcribe your meetings—accurately and automatically. ✅ If you’re on Google Workspace → try Gemini ✅ If you’re in the Microsoft ecosystem → use Copilot ✅ If you use neither → Otter.ai is a solid option I personally love These tools don’t just transcribe. They extract action items, create to-do lists, flag deadlines, and even sync with platforms like Slack or Gmail to follow up. Most importantly: they let you stay present in the conversation, instead of toggling between listening and note-taking. A quick reminder—always disclose that your meeting is being recorded or that an AI tool is present. (Most apps announce it automatically.) This isn’t just about tech. It’s about presence, clarity, and working smarter. Are you using AI to support your meetings yet? Would love to hear what’s working for you.

  • AI is going to revolutionize meetings and it's going to do so four ways: 1️⃣ Meeting Efficiency We already have tools such as Calendly to improve scheduling efficiency. AI will make that faster and easier as well. Also important is identifying exactly who needs to be there for the active meeting. There are still too many meetings we attend where we are essentially "cc" attendees, interested in the content/outcome but not necessarily part of the discussion. 2️⃣ Meeting Effectiveness AI will help create agendas based on the meeting's objectives, attendees and related content/threads/conflicts seen in other channels/formats. That agenda will be dynamic - some agenda items might disappear right before the meeting for example if the issue has already been resolved in email or no longer requires the full group's attention. AI can also help with time management, assigning time slots for topics based on depth of discussion needed and give gentle reminders when it's time to move on (AI could also gently redirect the meeting if the discussion gets off topic or goes into a rabbit hole). 3️⃣ Meeting ROI Too often we rush from one meeting to the next and a lot of action items are lost, forgotten or ignored. AI will automatically capture and assign action items and help hold attendees accountable for follow-up. This will flow into whatever work management systems you use - Adobe Workfront, Asana, Outlook Tasks, whatever. 4️⃣ Meeting Kaizen In other words, how can we make the next meeting better? AI will give constructive feedback on how to improve all above elements - whether the meeting was necessary at all, whether it was successful, how to manage agenda/attendees/discussion/follow-up next time. Doing all of this manually would make meetings far more effective today. AI will do the hard work for us in the not so distant future.

When your most capable (and most expensive) minds spend half their day in meetings, but outcomes rely on memory, you’re essentially running your business on Snapchat, where communication is ephemeral and actionability hinges on recall. Agentic AI transforms ephemeral conversations into persistent, strategic assets that compound in value over time. Leaders can now extract insights automatically, generate agendas from past discussions, and invite only the necessary people, while ensuring the output is broadly accessible. Instead of vanishing into thin air, meetings become a searchable, mineable system of record that fuels organizational intelligence — whether or not you were in the room. https://lnkd.in/g5F4prwH via GeekWire, Mark Briggs, Read AI
