A few months ago, I talked with a care provider who sounded exhausted. Not from the actual caregiving that part they loved, but from drowning in paperwork and admin chaos. They were doing amazing work supporting elderly clients across North Yorkshire, coordinating personal assistants, managing complex schedules. But behind the scenes? Complete madness. New client inquiries meant hunting down forms across different systems. Scheduling was a nightmare of emails and sticky notes. Important data lived everywhere except where they needed it. And the affordable tools weren't nearly powerful enough for what they were trying to do. They knew automation could help, but didn't have the budget for fancy software or a tech team to set it up. The challenge: Build them a streamlined system that feels personal, costs almost nothing, and actually works in the real world. What I created: 1. Replaced their clunky WordPress form with a simple Google Form 2. Built a workflow that automatically checks if they serve each postcode 3. Set up Airtable as their single source of truth for clients and visits 4. Created personalized email responses based on each situation 5. Connected everything to their existing tools (Airtable for tasks and data storage, calendar sync for scheduling) 6. Added location-based check-ins and automated invoicing. Now everything flows seamlessly. No more lost leads, messy spreadsheets, or admin chaos eating up time that should go to clients. I filmed a quick demo showing how it all works, it's surprisingly simple but incredibly powerful. If you've ever felt buried under admin work, or you're watching your team struggle with manual processes that should be automated, this might give you some ideas. Sometimes the best tech solutions are the ones that disappear into the background and just let people focus on what they do best. #Automation #Workflow #Productivity. Make Airtable

Had this conversation with a CFO a few months back. His finance team spent 23 hours each week moving numbers between systems. Today? It takes 17 minutes. Let me share how we fixed their workflow mess without breaking the bank or their sanity. First step? We mapped their process. Not with fancy diagrams—we just watched Sara (fictional name) from accounts do her Monday morning data dance. Eye-opening stuff. The reality check hit hard: ▶︎ 6 different spreadsheets ▶︎ 4 copy-paste cycles ▶︎ 3 manual calculation steps ▶︎ 2 coffee breaks (necessary for sanity) ▶︎ 1 weekly headache We started small. One automation: Moving data from their billing system to Excel. Tools we can pick: Simple: Make Smart: Power Automate (Microsoft) Power-user: Workato But here's what nobody tells you about workflow automation: The tech is the easy part. Getting people to trust the system? That's where the magic happens. Real talk from recent projects: Accounting team: Saved 89 hours monthly Sales ops: Cut report time from 2 days to 20 minutes HR: Onboarding time down 73% ROI? The CFO's team saved £4,200 in month one. But the real win? No more weekend work fixing spreadsheet errors. The secret sauce (I should charge for this): 👉 Map what people actually do (not what they say they do) 👉 Start with one painful process 👉 Let the team help design the solution 👉 Keep humans in control Got workflows that make your team want to quit? DM me. I've probably automated something similar before. #WorkflowAutomation #AI #Productivity #DigitalTransformation

"We just saved $24,000 a year by fixing one broken process." That's what my construction client told me after we transformed their accounts payable system. As a fractional controller, these are the wins that get me excited. Let me share what was happening behind the scenes. This growing construction company was drowning in paperwork - their team was spending 15-20 hours weekly manually entering invoices, chasing down approvals from project managers in the field, and reconciling payment records. Late payments were straining vendor relationships, and they had zero visibility into their cash flow. Here's what we did: We implemented BILL as their AP automation solution. The transformation was remarkable. Within just two months: ✔️ Their AP processing time dropped to just 3 hours per week ✔️ Project managers could approve invoices right from their phones ✔️ Vendors started getting paid consistently on time ✔️ They saved $2,000 monthly in administrative costs ✔️ Most importantly, they gained real-time visibility into their cash flow But the best part? She's now focusing on more strategic tasks like vendor relationship management and process improvement. I've seen this pattern repeatedly in my work with various businesses. I worked with one of the largest healthcare hedge funds in the world to overhaul their HR processes. Here’s what happened. This hedge fund was already using Process Street—honestly, using it a lot—but only for IT workflows. They had things like asset tracking, account provisioning, and compliance checks running smoothly. IT? No problems there. HR? different story. Their HR processes were disconnected and chaotic. BambooHR was their employee database, but it wasn’t integrated with anything else. Onboarding a new hire meant manually moving data between BambooHR, spreadsheets, and emails. Compliance records were stored in a separate spreadsheet that rarely got updated, and critical documents were constantly delayed or misplaced. Manual processes everywhere, prone to human error. Not only was it slow, but it was risky. Screwing up mundane HR processes could lead to a massive lawsuit for heavily regulated business like a hedge fund. So we started by focusing on one thing: centralizing all their HR data and processes. Using Process Street's datasets feature, we brought everything into one place. Datasets gave them a centralized, dynamic database to store employee information—names, roles, start dates, compliance checklists, benefits, you name it. What made it powerful was how everything linked together. When HR needed to onboard a new hire, they could just select the name from a dropdown menu, and everything—email, role, start date, and even the necessary compliance documents—would automatically populate into workflows. We also integrated BambooHR directly into the workflows, so there was no more copying and pasting between tools. Compliance checklists? Automatically updated. Notifications for deadlines? Sent without delay. seamless, automated, and most importantly, accurate. The result? HR went from overwhelmed to overachieving. Onboarding times were cut in half, compliance errors became nearly nonexistent, and the team could actually focus on people instead of processes. I can only imagine how much money we’ve saved them in terms of time and brainpower focusing on the core drivers of their business.

How we shrank 30-40 hours of weekly manual work into just 2-3 hours 🤯 (Automation Tip Tuesday 👇) This home services company was struggling with their invoice reconciliation process. They received numerous vendor invoices via email (PDF format) and needed to manually match them against jobs in ServiceTitan. Their team was stretched thin, discrepancies and overpaying were daily occurrences, and one day, they had enough. We worked on a three-step automated solution: Step 1: Finding the PDFs Zapier monitors the inbox for invoices. When it detects an invoice with a PDF attachment, it proceeds to Step 2. Step 2: Parsing the Data Nanonets uses AI to extract data from the PDF. Step 3: Data Comparison The extracted data is compared with jobs in ServiceTitan. Any discrepancies are added to a spreadsheet for internal review. 30-40 hours of weekly manual verification time is now just 2-3 hours. With instant discrepancy flagging, their system allows for better vendor management, improved billing accuracy, and more time for the team to pursue higher-value tasks. Which manual task that can be automated is currently taking up too much valuable time? If you’re thinking of one, it’s time we spoke. What if we replicate the business processes of paper-based document exchange in digital format? Will this help accelerate the transition to cross-border paperless trade? Interesting case of Enigio. Recently, I came across a quite interesting report from the #ICC #DSI. It features 22 case studies that showcase how digitalisation is transforming key processes in supply chains, including 4 areas: 🚢 Logistics and Shipping: Transitioning to electronic Bills of Lading (eBL) and digital tools reduces transaction times and enhances data reliability. 📑 Commercial Documentation: Blockchain and digital identity technologies increase transparency and reduce costs. 🌐 Cross-Border Compliance: National Single Windows and digital customs procedures simplify compliance and boost efficiency. 💳 Financial Services: Digital identity and e-records improve security and accessibility in financial transactions. Among all the examples, I found the case of Enigio particularly compelling. The company faced a common challenge for many businesses: digitisation of trade-related documents. While the business processes replicate the paper-based exchange, digital versions of shipping instructions, commercial invoices, certificates of origin, and more were created. These electronic versions are not only human-readable but also machine-processable, utilising a six-layer approach. Importantly, all documents complied with #KTDDE standards, ensuring compatibility across the entire supply chain. The transition required no complex integrations or new systems, making it seamless for all partners. What changed? The move to digital documents reduced transaction times, lowered costs, and simplified processes. With no need for physical couriers, operations became faster. Plus, documents are now easier to verify and securely manage, reducing the risk of fraud and errors. It's interesting to hear about your experience, who already tried the Enigio solutions. 👉 Link to the report: https://lnkd.in/dsca9Gdr #TradeFacilitation #DigitalTrade #PaperlessTrade #SupplyChain Patrik Zekkar Gunnar Collin Aleksandr Orel

After my first year of practicing law, I realized how absurd it was having so many papers in my file cabinet. Every case folder weighed pounds. I was drowning in documents, contracts, and immigration forms. That's when I made the decision — we went paperless within the next year. Now when I walk into other law offices and see walls lined with paper files, I think about how inefficient that system really is. There's just so much paperwork in legal practice that traditional methods can't scale. The transformation wasn't just about saving office space. It was about: • Creating transparency for clients • Building efficiency into our processes • Preparing for a future where remote work would be essential A few years ago, we implemented a client portal through Monday.com where clients can see real-time updates on their cases. It shows all assignments for our attorneys, HR teams, and employees. Clients can log in anytime to see exactly where their case stands without calling us. This transparency is what sets us apart. I know there are other legal industries where if you call them, they don't even know your name or your case status. That's frustrating for clients who already feel anxious about their legal matters. In immigration law especially, clients need reassurance that their cases are progressing. Their futures literally depend on it. When COVID hit, we were already set up for remote work. While other firms scrambled to adapt, we continued operating seamlessly. Going paperless wasn't just an operational decision — it was a client service decision. The best part? In 13 years with over 1,000 cases handled, we've maintained an almost perfect success rate. Part of that comes from having organized, accessible files that help us never miss a deadline or detail. Sometimes the most important innovations aren't the flashiest — they're the practical ones that make everything else possible. #ImmigrationLaw #LegalTechnology #ClientExperience
