WordPress Student Club Onboarding Script

This script is designed to guide a mentorEvent Supporter Event Supporter (formerly Mentor) is someone who has already organised a WordCamp and has time to meet with their assigned mentee every 2 weeks, they talk over where they should be in their timeline, help them to identify their issues, and also identify solutions for their issues. through the process of onboarding a new WordPress Student Club co-representative, ensuring they understand their role, site, and resources.

Initial Setup and Access Verification

Objective: Confirm the co-representative’s identity, gather necessary information, and ensure they have site access.

  • Welcome & Role Introduction:
    • Welcome the student co-representative to the WordPress Student Club community.
    • Explain their vital role in fostering a sustainable and inclusive learning environment on campus.
  • Verify Site Access & Role:
    • Confirm: That the student has been added to the club site with the Editor role. (This allows them to create and manage content, including pages, posts, and events).
    • Confirm: That the sponsoring Faculty Member and original Campus Connect Event Organizer (if applicable) hold the Admin role for administrative support.
    • Action: Have the student log in to the club site to visually verify access.

How to Use Your Student Club Website

Objective: Train the co-representative on the club site’s function and key tools.

  • Site as the Central Hub:
    • Explain that the site is the central hub for the on-campus community for managing events and sharing information.
  • Content Management (Editor Role):
    • Explain that as an Editor, they can create and manage pages, posts, and events.
    • Tip: Show them how to draft and publish a simple “Club Update” post.
  • Managing Events with GatherPress:
    • Explain that GatherPress is enabled by default for creating and publishing on-campus events (meetupsMeetup Meetup groups are locally-organized groups that get together for face-to-face events on a regular basis (commonly once a month).     • Action: Walk them through the event creation tools to publish details, schedule, and registration information.
  • Sharing Content Strategy:
    • Review the importance of using the site to share:
      • Club updates.
      • Recaps of past events.
      • Helpful WordPress tips and resources for members.

How to Engage Members

Objective: Impart best practices for building a successful and active club.

  • Host Regular Events:
    • Emphasize organizing consistent events (meetups, workshops, training) as the key to sustained engagement.
  • Foster a Learning Environment:
    • Encourage creating an environment that promotes skill development through workshops, tutorials, and collaborative projects.
    • Resource: Direct members to official Learn WordPress resources for structured training materials if required.
    • Action: Discuss a plan for sharing knowledge, tips, and resources (articles, plugins, themes) with members.
  • Promote Collaboration & Networking:
    • Stress the importance of students collaborating on projects, networking with each other, and connecting with local professionals in the broader WordPress community.
  • Inclusivity & Welcoming:
    • Reiterate the need for a cost-free, open and welcoming club environment for all students, regardless of their current skill level or background.
  • Provide Leadership Opportunities:
    • Suggest offering members a chance to take on roles (e.g., workshop lead, social media manager) to grow ownership.
  • Engage with the Broader Community:

Objective: Ensure the co-representative knows where to go for support.

    • Explain that this is the primary way to get immediate support from WordPress Community team members and other organizers.

    • Action: Have the student confirm they have joined the official WordPress.org Slack and the #campusconnect & #student-clubs channels.
